Fill several Word documents with the same answers

Use shared field keys to fill a registration, appointment and permission form without retyping the same information.

One person, several forms

Suppose Alex Morgan needs a community registration, a service appointment note and a photo interview permission form. Each form asks for a name, but uses a different label or layout. Shared data keys let one answer fill all three documents.

Use the three fictional sample files from the How to use page to practise. They demonstrate document processing and are not operational consent or policy documents.

Make the keys agree

The field key connects an input to a position in a document. If one form uses person.full_name and another uses person.given_name, those are separate inputs. Use person.full_name in both positions when both require the complete name.

Keep roles separate: a witness name should not share the participant’s key. Review suggested keys rather than assuming every field labelled Name belongs to the same person.

  1. Add the three sample DOCX files in Fill documents. Each appears in its own tab.
  2. Open Edit fields for each document and check that equivalent answers use the same key.
  3. Return to Fill documents. Enter Alex Morgan and a fictional contact email in Shared data fields.
  4. Select each document tab and inspect its filled preview. Check every page, not only the first.
  5. Download one completed DOCX or the ZIP containing all completed documents.

Full names and separate name parts

When your templates include given_name, family_name and full_name for the same group, the automatic name combination checkbox can build the full name from its parts. A middle_name value is included when present. Uncheck it if the full name needs a different form.

Existing client.*, participant.* and student.* tags can reuse person.* inputs. Review the resulting fields when combining older templates, especially if two differently labelled people appear in the same document.

When an answer is missing or repeated incorrectly

If a field stays blank, check that it was selected in Edit fields and that its data key matches the input you filled. If two people receive the same name, check for a reused key and assign separate role keys.

Files and entered answers are processed in the browser. Remember uploaded files is optional and stores original files in this browser; entered values are not saved. A downloaded template preserves its tags, while a completed document contains the answers you entered.
