Generate Word documents from spreadsheet rows

Prepare spreadsheet headers, map columns to DOCX fields, and generate a reviewed set of Word documents for each row.

One row creates one set of documents

For a workshop with two participants, a spreadsheet might contain the headers person.full_name and person.email. Put Alex Morgan in the first data row and Sam Lee in the second. With three DOCX templates loaded, those two rows produce six documents.

Use fictional data for your first run. Once the mappings and layout are correct, replace it with the data you are authorised to process.

Prepare a matching spreadsheet

Load your DOCX forms first, review their fields, then choose Download XLSX template. Its header row contains the selected field keys. Add one person or case per row without changing the keys.

XLSX, CSV, TSV and ODS files are supported. The first nonempty row of each nonempty sheet is treated as the header row. Store identifiers and postcodes as text in your spreadsheet before entering them: a numeric cell may already have lost leading zeros by the time you import it.

  1. Load the reviewed DOCX templates, download the XLSX template, and add two fictional data rows.
  2. Add the completed spreadsheet in Fill documents and choose the relevant sheet if several are available.
  3. Review every column-to-field mapping. Matching headers map automatically; unmapped columns are ignored.
  4. Enter any answers shared across all rows in Shared data fields, leaving those keys unmapped in the spreadsheet.
  5. Download the batch ZIP. Open the documents for both test rows in Word before generating the full batch.

Blank cells and shared answers

A mapped column controls its field for every row. A blank cell in that column leaves the field blank; it does not fall back to a typed shared value. To use one shared answer for the whole batch, leave that field unmapped and enter its value in Shared data fields.

Automatic full-name combination also works independently for each spreadsheet row when enabled. Check the source name columns and the combination setting if a generated full name is unexpected.

Batch limits and output checks

Spreadsheet files are limited to 5 MB and 1,000 data rows per sheet, with at most 2,000 generated documents in a batch. For example, three loaded templates allow up to 666 rows in one batch. Split larger jobs into smaller files.

The ZIP groups each row’s documents in a folder named from its name, first ID or row number. Duplicate folder names receive a number. Check a few outputs from the beginning and end of your real batch, and any rows with long or unusual values. Keep the ZIP private when it contains personal information.
